What HR translation covers

Every document from offer letter to last paycheck

An employee who can't read a policy can't follow it. Here is where your paperwork meets them.

  1. Hire

    • Offer letters
    • Job descriptions
  2. Onboard

    • Employee handbook
    • Benefits summary
    • Direct deposit form
  3. Work

    • Policy updates
    • Safety training
    • Performance reviews
  4. Leave

    • Separation letters
    • Final pay notices
    • Benefits continuation notices

A handbook in Word comes back as a Word file you can keep editing. Old policies that only exist on paper work as a scanned PDF. Running a plant? See safety training and work instructions.

Pay once per document

Translate the template, not every copy

Employee handbook translation is a one-time cost. Every hire after that reads the same file.

  1. 1Translate blank forms and templates, then fill them in for each person. No employee's personal data gets uploaded.
  2. 2When a policy changes, upload only the changed section.
  3. 3Keep the translated file next to the English one, so new hires get both.

You see the exact price after upload, before you pay.

Translate the template once

Your onboarding packet: handbook, policies and forms, about 6,000 words

Cost per new hire

  • 1 hire…
  • 10 hires…
  • 25 hires…
  • 50 hires…

Estimate for a 24-page packet at 250 words a page, at today's guest rate with layout preservation and the per-document fee. Translate blank templates, then fill them in for each person, so no employee's personal data is uploaded.

Proof

A handbook page in Spanish, unedited

The paid time off section of a handbook, translated from English to Spanish. Nobody touched the output.

English original: the paid time off section of an employee handbook

Spanish translation: the same handbook section, unedited
Español
  • 80 hours, 14 days and ext. 3 came through exactly.
  • 1.54 hours became 1,54 horas, the Spanish decimal style.
  • Holiday names became Día de los Caídos and Día de Acción de Gracias.

What your reviewer should check

Usted or tú?

Spanish has a formal and a familiar “you”. On the same page above, the translation used both.

The policy (usted)
“Solicite tiempo libre en la aplicación PeopleHub con al menos 14 días de anticipación. Su supervisor responderá en un plazo de 3 días hábiles.”
The contact box (tú)
“¿Preguntas? Habla con tu supervisor o llama a Recursos Humanos al (555) 014-2210, ext. 3.”

Pick one before you translate the handbook

Decide how your company addresses employees. Then ask a bilingual reviewer to make every page match.

  • Decimals: 1.54 becomes 1,54 in Spanish. Decide which style your pay stubs and policies use.
  • Signature lines: check that every acknowledgment still has room to sign and date.
  • Names: your apps, benefit plans and department names should read the same on every page.

Employee data stays yours

The safest file holds no personal data at all. Translate the blank template, then fill it in.

Read how we protect files on the security page and in the privacy policy.

  • Files are encrypted in transit (TLS 1.2 or later) and at rest (AES-256).
  • Access is restricted, and administrative actions are logged.
  • You keep ownership of your file and its translation.
  • Delete your account in settings and your uploads and translations are deleted with it.

HR document translation questions

Does a translated handbook meet language laws?

We can't tell you that, and this is not legal advice. It is an AI translation, not a certified translation. Ask your employment counsel what your state and industry require.

Which languages can I translate HR documents into?

Any of 70 languages. Spanish is preselected on this page, and you can change it at checkout.

Can I keep editing the translated handbook?

Yes, if you upload a Word file. You get an editable Word file back. A PDF comes back as a translated PDF.

Can I translate old policies that only exist on paper?

Yes, as a scan, if they are written in English, French, German, Italian, Portuguese or Spanish. Clear, straight scans work best.

What about employees' personal data?

Translate blank templates and fill them in afterwards, so no personal data is uploaded. Files are encrypted in transit and at rest, and deleting your account deletes your uploads and translations.

How much does HR translation cost?

You pay per 1,000 words and see the exact price after upload, before you pay. A verified free account includes 3,000 words to try a policy first.

Give every employee a handbook they can read

Upload your handbook or policy, see the exact price, and hand the translation to a bilingual reviewer.
